Leiden University Libraries will move to new library management system Alma

On July 18th Leiden University Libraries (UBL) will move to Alma, a new library management system which handles our acquisitions, loans, returns and requests. During the transition to Alma library users might experience some inconveniences.

Alma allows the library staff to move more
efficiently through acquisition and metadata
phases of work allowing researchers to gain
faster access to new materials and online
resources purchased by the library. While
most of the changes are behind the scenes,
during the transition to Alma library users
might experience some inconveniences.

Catalogue offline

On July 18th the Catalogue is not available
till 14.00 hrs.

Hold requests and lending

You will not be able to place hold requests and renew the loan period of library materials in the Catalogue from 15 July 16.00 hrs. to 18 July 14.00 hrs. The Catalogue can be used for consultation only. The library will not send out reminders on 12 and 19 July. Pre-existing requests will not be affected, just as the Interlibrary Loan Services.

It is also possible to lend books available for lending from open stacks (such as in the open stacks area of the University Library and the libraries for Social Sciences, Law and Science till Saturday 16 July 17.00 hrs. E-journals, e-books and databases are available as usual for consultation, except Monday 18 July 14.00 hrs. 

From Friday 15 July 17.00 hrs. till Monday 18 July 14.00 hrs. the lockers of Archeology Van Steenis are closed. On Monday 18 July till 14.00 hrs. it is not possible to collect materials from the lockers at the University Library and the Library Learning Centre The Hague.

Clearing of search history and loans history in Catalogue

The Loan History and saved queries in MyLibrary will be cleared as part of the upgrade. If you wish to retain a copy of this information, please do so before 15 July. Saved search results on the e-Shelf will be kept.

Loans History 
Currently the Catalogue keeps a list of the last 200 items you have borrowed from the library. Loans history data will not be migrated to the new version of the Catalogue. If you wish to retain a record of items that you have borrowed you will need to copy your Loans History and paste it into an Excel (Windows) or Numbers (Mac) document. 

  1. Login to the Catalogue

  2. Click on My Account

  3. Click on Loan History

  4. Highlight the required records

  5. Copy selected text using Ctrl + C (Windows) or Command + C (Mac)

  6. Paste selection into Excel table into cell A1 Save Excel C (Windows) / Numbers (Mac) file  


Saved Queries 

  1. Login to the Catalogue

  2. Click on My Account

  3. Click on Queries

  4. Click on Saved Queries & Alerts

  5. Click on the ‘Search name’  to run that Saved Search

  6. Copy the search string from the search bar and paste it into a Word (Windows) or Pages (Mac) document for future reference. Taking a note of how the search results may have been refined.

Old Catalogue offline

Since 1 July 2016 the Old Catalogue is no longer available.
